Who is responsible
CognitionHub is responsible for the personal information described in this notice when you use cognitionhub.com, join a waitlist or submit an available form.
Membership waitlist data
The membership waitlist collects your name, work email, company or brand, current role, preferred membership, consent choice, source page and source placement. We also store the submission time and a limited user-agent value for operational security. We do not store your IP address with the waitlist record.
Application and enquiry data
A Bench Operator application collects the identity, professional profile, company, expertise, services, experience and contribution information shown on that form, together with your acceptance choices. An available contact form collects the details and message shown when you submit it.
Why we use personal information
We use waitlist information to record your interest and send the membership-related contact you requested. We use application and enquiry information to review and respond to that submission. We also use limited technical information to prevent abuse, maintain security and operate the website.
Our lawful bases
We rely on consent for membership waitlist contact and optional analytics. We rely on our legitimate interests to respond to requested enquiries, assess applications, protect the Network, prevent abuse and operate the website securely. We do not use personal information for an unrelated purpose without first identifying an appropriate basis and providing any required notice.
Waitlist, application and account status
Joining the waitlist is not an application, does not create a membership or account and does not guarantee acceptance. Submitting an available application is a separate review step and still does not create an account, payment or membership.
Public profiles
A member, Expert or Bench Operator profile is published only with approval. A person can ask us to correct or remove their public profile.
Cookies and analytics
Optional Firebase Analytics runs only after you accept analytics through the cookie banner. Membership journey events may include the source page, placement, selected tier and event outcome. Names, email addresses, companies and roles from forms are not sent in those analytics events. You can decline optional analytics and continue to use the public website. You can change your choice through Cookie settings in the footer.
Who can access information
Access is restricted to authorised CognitionHub operators and service providers that support hosting, secure data storage, email delivery and consented analytics. Those providers act under their own legal obligations or our instructions. We do not sell personal information.
International processing
Some service providers may process information outside the UK. Where required, we use an applicable adequacy decision or approved contractual safeguards for that transfer.
How long we keep information
We keep personal information only while it is needed for the purpose described, to maintain security, resolve a request or meet a legal obligation. We consider whether the waitlist or application remains active, whether you have withdrawn, and whether a record is still needed when deciding when to delete it.
Automated decisions
CognitionHub does not use waitlist or application information to make solely automated decisions that have legal or similarly significant effects. Applications are reviewed by people.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction or a portable copy of your information. You may also withdraw consent at any time. These rights are not absolute and may be subject to legal exceptions. Contact CognitionHub through a published business contact channel to make a request. We normally respond within one month.
Your right to object
You may object to processing based on legitimate interests and may always object to direct marketing. You can also ask us to stop membership-related contact or remove your waitlist record.
Complaints
Please contact us first if you have a concern. You also have the right to complain to the Information Commissioner's Office.
